Recubix, Inc. ("Recubix", "we", "us", or "our") operates the Recubix AI recruitment platform accessible at recubix.com and app.recubix.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services.
By accessing or using Recubix, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our services.
2. Information We Collect
We collect the following categories of information:
- Account information: Name, email address, organisation name, and password when you create an account.
- Candidate data: Résumés, profile pictures, audio/video recordings, and biometric data uploaded for interview and verification purposes.
- Usage data: Pages visited, features used, clicks, session duration, and device/browser information collected automatically.
- Payment information: Processed by our payment provider; we do not store raw card numbers.
- Communications: Messages you send us via email or support channels.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve the Recubix platform.
- Process AI-driven interviews, résumé matching, and biometric verification.
- Send transactional emails such as interview confirmations and account notifications.
- Respond to support requests and communicate product updates.
- Comply with legal obligations and enforce our Terms of Service.
- Analyse usage patterns to improve platform performance and user experience.
We do not sell your personal data to third parties.
5. Third-Party Services
We work with the following categories of third-party service providers:
- Authentication & database: Supabase
- AI processing: OpenAI (GPT-4o)
- Vector search: Pinecone
- Email delivery: Resend
- Cloud infrastructure: AWS / Vercel
Each provider has their own privacy policy governing their use of data shared with them.
6. Data Retention
We retain personal data for as long as your account is active or as needed to provide our services. Upon account deletion, we will delete or anonymise your data within 30 days, except where retention is required by law.
Candidate data (résumés, recordings, biometric embeddings) is deleted upon request or automatically after the retention period configured by your organisation.
7. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access, correct, or delete your personal data.
- Object to or restrict processing of your data.
- Data portability — receive your data in a machine-readable format.
- Withdraw consent at any time where processing is based on consent.

We implement industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, Row-Level Security in our database, and regular security audits. However, no method of transmission over the internet is 100% secure.

Recubix is not directed to individuals under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us immediately.
